01Who processes your data

The data controller is Letmotiv, a single-shareholder limited company (SARL / EURL) registered with the Paris Trade and Companies Register under number 103 486 395, with its registered office at 10 rue de la Paix, 75002 Paris, France. Letmotiv is a professional training organization (see the legal notice for the activity declaration and Qualiopi certification).

This policy does not cover processing carried out by Letmotiv as an employer, nor the teaching and administrative management of training once the contract is concluded (agreement, attendance sheets, assessments, Qualiopi file), which is the subject of specific information provided to participants.

02Data we collect

a. Browsing

On each visit, our host records technical data: IP address, browser and device type, pages viewed, date and time, referring site. These logs are used for security and for the site to work properly. Audience measurement (section 8) also produces aggregated, anonymous statistics.

b. Contact and request forms

Depending on the form used, we collect:

• General contact and USA Immersion programme: first name, last name, email, phone, company, city, profile, message, and the context you describe (English level, timeframe, etc.).
• Coaching request: first name, last name, email, phone, language, preferred format, city, type of support, description of your situation and degree of urgency.
• Funding simulator / OPCO finder: email, first name, last name, employment status, and — if you provide it — the SIREN number of your organization. From the SIREN, the INSEE public Sirene API returns the company name, NAF code, headcount band and legal form, which we keep with your request.

c. Simulator user account

Creating an account (needed to receive detailed feedback and track your progress) is done with an email and password, or via Google. We then receive your email, your first name and, if you sign in with Google, the basic information from your Google profile. Passwords are handled and encrypted by our authentication provider; Letmotiv never has access to them in clear text.

d. Exercises completed in the simulator

For each completed exercise, we record in your account: the topic drawn, the level and duration chosen, the scores calculated (structure, pace, clarity, relevance, on-camera presence), the number of filler words detected and the badge obtained. The details of camera, microphone and AI data are described in section 4.

03Purposes and legal bases

We process your data only for the following purposes, each of which relies on a legal basis under the GDPR:

Where processing relies on your consent, you can withdraw it at any time (see section 9); withdrawal does not affect processing already carried out.

04The simulator: camera, microphone, AI

The public speaking simulator is optional and each component is enabled separately. Here is exactly what happens.

Camera — presence analysis, on your device

If you enable the camera, the image stays entirely in your browser. It is not recorded, not sent to Letmotiv, not passed to a third party. Processing runs on your device to detect whether a face is facing the lens; the result is a simple percentage (« face detected X% of the time »). This is presence detection, not facial recognition: no identification, no biometric template, no image data kept. Only the percentage is saved in your history.

Microphone — transcription by your browser

If you enable the microphone, your voice is transcribed by the speech-recognition service built into your browser. Depending on the browser (for example Chrome), audio may be sent to the browser vendor's serversto be transcribed; that processing is governed by that vendor's privacy policy. Letmotiv neither receives nor keeps any audio recording.

Analysis by artificial intelligence

To generate your feedback, we send our AI provider (Anthropic, the « Claude » service) the topic drawn, the text transcription of your speech, any notes you took and the on-camera presence percentage. This data is processed to produce the analysis and is not used to train models. The transcription and notes are not stored by Letmotiv after the feedback is displayed: only the aggregated scores and statistics are saved in your account.

05Recipients and processors

Your data is accessible to authorized members of the Letmotiv team (sales, teaching, management). It is not sold, rented or exchanged. We use the following providers, each bound by a data processing agreement:

When you click a booking link, you are taken to Calendly(United States), an independent data controller; the information you enter there is governed by Calendly's policy.

Your data may also be shared: with a skills operator (OPCO) or funder when you request funding; with our accountants and advisers; with an administrative or judicial authority that makes a legitimate request.

06Transfers outside the European Union

Some of the providers above are established in the United States or process data there (Vercel, Anthropic, Microsoft, Calendly, and Google in certain cases). These transfers are framed by the European Commission's standard contractual clausesand, where applicable, by the company's certification under the EU–US Data Privacy Framework, supplemented by technical measures (encryption in transit and at rest). You can ask us for a copy of the applicable safeguards at contact@letmotiv.fr.

The Supabase database that holds the forms and accounts is located in the European Union (Ireland); no form or account data is stored outside the EU. As the publisher Supabase Inc. is established in the United States, occasional access by its support team is framed by the same standard contractual clauses.

08Cookies and audience measurement

Site functionality

If you create an account, a cookie or session local storage is used to keep you signed in. These are strictly necessary and exempt from consent.

Audience measurement — Plausible

Plausible Analytics measures site traffic without cookiesand without collecting data that could identify you. The statistics are aggregated and hosted in the European Union. In line with the CNIL's guidelines, this tool does not require your consent; you can still object to it via your browser's Do Not Track mechanism.

Behaviour analysis — Microsoft Clarity

Microsoft Clarity sets cookies and records browsing sessions (mouse movement, clicks, scrolling) in order to improve usability. Input fields are masked by default. This tool is only set with your consent and the data is transferred to Microsoft in the United States.

Maps and third-party content

The Google Maps map in the footer and the OpenStreetMap base maps on the « cities » pages send your IP address to those services when they display. The Google Maps map is subject to your consent.

A consent banner collects your choice on your first visit: Microsoft Clarity and the Google Maps map only load after you accept, and the « Manage cookies » link in the footer lets you change that choice at any time. The details are in the Cookie policy.

09Your rights

Over your personal data, you have the following rights:

• Access — obtain a copy of the data we hold about you.
• Rectification — correct inaccurate or incomplete data.
• Erasure — request deletion of your data, within the limits of our legal retention obligations.
• Restriction — freeze the use of your data during a check.
• Objection — object to processing based on legitimate interest, and at any time to sales outreach.
• Portability — retrieve the data you provided to us in a reusable format.
• Withdrawal of consent — for processing that depends on it (camera, microphone, non-essential cookies).
• Post-mortem instructions — decide what happens to your data after your death.

To exercise these rights, write to contact@letmotiv.fr or by post to the address given in section 1. We respond within one month. Proof of identity may be requested in the event of reasonable doubt. You can also delete your simulator account yourself from your profile.

If you believe your rights are not being respected, you can lodge a complaint with the CNIL — 3 place de Fontenoy, TSA 80715, 75334 Paris Cedex 07, www.cnil.fr.

10Security

We implement appropriate technical and organizational measures: encrypted connections (HTTPS), encryption of data at rest at our hosts, access control, passwords managed by a dedicated authentication service, minimization of the data collected. In the event of a data breach likely to create a risk to your rights, we will notify the CNIL and, if necessary, the individuals concerned, in accordance with Articles 33 and 34 GDPR.

11Children's data

The site and its services are aimed at professionals and adults. We do not knowingly collect data about children under 15. The simulator may be used by a minor aged 15 or over; below that age, the agreement of a holder of parental authority is required. If you believe a child has sent us data without authorization, write to us: we will delete it.

12Changes to this policy

We may change this policy to reflect a change in our tools or in the law. The date of the last update appears at the top of the page. In the event of a substantial change, we will inform account holders by email or by a notice visible on the site.
